How it works
Three things decide what a person sees and can do in Complere.
| Where | What it decides |
|---|---|
| The person's Permission Role and Role Permissions | What the role may do in Complere Settings: users, groups and the other lists there (see Change what a role can do). |
| A module's Permissions page | Which roles may do each action in each status of that module (see Read a module's Permissions page). |
| The record's Groups and the people named on it | Who the record is shared with, and who acts on it. |
- A document carries groups. When you create a document, Groups is required, and the people you can name on it come from the groups you chose.
- The module's Permissions page adds the status. Even inside the right group, a role may see or act on a record only in some statuses. For example, on the Document Control Permissions page, an information button beside a role reads "The document can be view only after the cycle is completed."
- Groups decide what you are offered. Document templates belong to groups: a document whose groups do not include a template's group cannot use that template. When you transfer a leaver's open items, Complere offers only "Users with common groups, similar or higher roles, similar or more modules".
- Groups nest. A group can sit under a parent group. A group created under a parent starts with every member of the parent group. On a user's form, ticking a group ticks every group under it.
- A group in use is locked on a person. While a person is named on records that carry a group, that group shows a lock on their user form and cannot be cleared. The eye button beside it (tooltip View group entities) opens the Assigned Entities List of those records.
If something is different
A person cannot see a record they should see.
Check two places: they are in one of the record's groups (see Add a user to a group, or take them out), and the module's Permissions page lets their role see the record in its current status (see Read a module's Permissions page). For documents, see I can't see a document.
The template you want is not offered when you create a document.
Add the template's group to the document's Groups first. The list fills once the document carries a group the template belongs to.
